Privacy Policy

QuoteChaser is software that helps contractors and home-service businesses track quotes and follow up on them by email. In this policy, "we" means QuoteChaser, and "you" means the business that uses the product.

When you create an account we collect your email address, your name, your business name, and optionally your phone number, industry and website. Passwords are handled by our authentication provider; we do not see or store your password.

You choose what to enter about your customers. Typically this is a name, email address and phone number, plus notes such as consent status. You are responsible for having a lawful basis to collect and use that information.

We store the quotes you create: job type, quote amount, dates, status (New, Following Up, Interested, Won, Lost), and related follow-up scheduling.

We store the follow-up emails sent through QuoteChaser (subject, body, send time, delivery result) and the replies your customers send back to those emails, so you can see the conversation in one place. Replies are received through a dedicated reply address generated for each quote.

When a customer replies, the reply text and basic quote context (job type and quote amount) may be sent to an AI model provider to classify the reply and draft a suggested response. AI output is a suggestion only. QuoteChaser never sends a reply automatically — a person on your team must review and send it.

• Resend — sending outbound follow-up emails and receiving replies.
• Stripe — subscription payments. Card details are entered on Stripe's systems; we never receive or store full card numbers.
• AI model provider — reply classification and suggested responses.

• To operate the product: store quotes, send follow-ups, record replies.
• To enforce plan limits and process subscription billing.
• To detect abuse and keep the service running reliably.
• To respond to support requests you send us.

We do not sell your data, and we do not sell your customers' data.

Access to your data is restricted at the database level so one business account cannot read or modify another business account's records. Secrets and API keys are held server-side and are not exposed to the browser. No system can be guaranteed completely secure, and we make no certification claims.

We keep your data while your account is active. If you delete your account from Settings, your business record, customers, quotes, follow-up history and replies are deleted. Backups and provider logs may persist for a limited period afterwards.

You can view and edit your data inside the app, export your customers, quotes and follow-up history as CSV from Settings, and delete your account from Settings. If a customer of yours contacts us directly, we will refer them to you as the business that holds the relationship.

Automatic follow-up emails include an unsubscribe link. Using it marks that customer Do Not Contact and stops any running sequence. Replying "STOP" or "UNSUBSCRIBE" has the same effect.

We may update this policy as the product changes. The "last updated" date at the top will change, and material changes will be communicated in the app or by email.
